# Build and publish

> Edit workflow steps on the canvas, publish versions, and start or stop a workflow

export const PlusBadge = () => <span style={{
  backgroundColor: '#EFF6FF',
  color: '#2563EB',
  padding: '2px 8px',
  borderRadius: '4px',
  fontSize: '12px',
  fontWeight: '600',
  marginLeft: '6px',
  display: 'inline-block',
  verticalAlign: 'middle',
  border: '1px solid #BFDBFE'
}}>
    Plus
  </span>;

## Edit on the canvas <PlusBadge />

Each workflow has three tabs. **Overview** shows results, **Workflow** is the editor, and **History** lists everyone who went through it.

On the **Workflow** tab:

1. Click the trigger card to choose what starts the workflow and set its conditions
2. Click **+** between steps to add an email, timing step, branch, or quote step
3. Click any step to edit it in the side panel
4. Rename any step with **Step name**

Step changes save to a draft automatically. They don't reach anyone until you publish.

### Work faster

* **Copy steps.** Shift-click or Cmd-click steps, or Shift-drag a box around them. Click **Copy**, then click **+** where you want them and choose **Paste**. Copied emails get their own copy of the message.
* **Delete steps.** Select them and press Delete, or use **Delete** in the toolbar.
* **Find your way.** Use **Fit to screen** and the zoom controls. Click **Hide email previews** for a compact view.

## Edit emails

Emails work differently from other steps. Click **Save email** to save the subject, message, and sender.

<Warning>
  Saved email changes apply right away, to everyone who hasn't received that email yet. You don't need to publish them, and **Discard changes** doesn't undo them.
</Warning>

Every email needs a subject and a message before you can publish. See [Send email](/workflows/actions#send-email) for senders, shortcodes, and test emails.

## Publish and start

When the workflow is ready, click **Publish and start**. It starts for new quotes or bookings right away.

To update a running workflow, edit the steps and click **Publish changes**.

Each publish creates a new version. New people get the latest version. People already in the workflow finish on the version they started with.

| Status | What it means |
| - | - |
| **Draft** | Never published |
| **Active** | Published and running |
| **Inactive** | Published but stopped |
| **Archived** | Stopped and hidden from the list |

<Note>
  Without Plus, you can build workflows, but you need to upgrade to start them.
</Note>

### Discard step changes

Open **More actions** and click **Discard changes**. The steps go back to the last published version. Saved emails don't change.

If you leave a published workflow with unpublished step changes, Flashquotes asks whether to keep editing or discard them. Drafts that were never published keep their changes.

## Stop, archive, and duplicate

| Action | Where | What happens |
| - | - | - |
| **Stop workflow** | Header or list row menu | No one new starts. Everyone partway through stops and won't get the remaining emails. |
| **Start workflow** | Header or list row menu | New quotes and bookings start the workflow again. People who were stopped don't restart. |
| **Archive** | **More actions** or list row menu | Stops the workflow, stops everyone partway through, and hides it from the list. Click **Undo** in the toast to bring it back. |
| **Restore** | **Archived** menu, or the list with **Status** set to show archived | Brings the workflow back, stopped |
| **Duplicate** | **More actions** | Creates a draft copy named "(Copy)" with its own emails. Editing one never changes the other. |

Flashquotes warns you before stopping or archiving a workflow that people are partway through.

## Change the trigger

1. Stop the workflow if it's active
2. Click the trigger card and pick a new trigger under **Starts when**
3. Confirm with **Change trigger**

The workflow goes back to unpublished, and anyone partway through stops. Triggers that don't support your current steps are grayed out. For example, **Building a quote** can't send emails.

**Only start when** and **Stop when** conditions the new trigger can't check are removed. For example, **Quote type** is dropped when you switch to **Booking created**.
