Overview
The Staffing Calculator automatically calculates and displays the number of staff members needed based on guest count and service duration. This helps set customer expectations and justify pricing.For more accurate staffing, configure the Staff & Resource Rules at the service level instead. Service-level rules support four calculator modes and take priority over these form-level settings when configured.
Configuration Options
Service Length
- Minimum Hours: Set the shortest service duration you offer
- Maximum Hours: Set the longest service duration available
- Supports half-hour increments for flexibility
Guest Count Controls
- Increment Value: Set how much the +/- buttons change the count (1-100)
- Smaller increments (5-10) work well for intimate gatherings
- Larger increments (25-50) are better for corporate events
Staffing Ratios
- Service Capacity: Define how many drinks/services one staff member can handle per hour
- Maximum Staff: Optionally cap the number of staff shown (leave empty for unlimited)
Staff Visual Counter
The visual counter shows interactive staff images on your form that adjust as customers change their guest count and service length.Where to find it
- Go to Forms and open your lead intake form in the editor.
- Under Content, select the Staffing Calculator question.
- In the settings panel, expand the Staff visual counter section.
Turn the visual counter on or off
Use the Enable visual counter toggle:- On — the form displays an interactive counter with staff images that adjusts to guest count. Customization fields appear below the toggle.
- Off — the form shows a text-only question instead. Customize the question title and subtitle; staffing calculations still happen behind the scenes.
There is no separate “mode” switch or “Display Options” menu — the Enable visual counter toggle inside the Staffing Calculator question’s settings is the only control.
Customize staff titles and photos
With the visual counter enabled, you can personalize:- Staff title (singular / plural) — e.g. “barista” / “baristas”
- Staff description — e.g. “Serving lattes, cappuccinos, and more”
- Staff Images — click any of the five image slots to upload or select a photo of your team. Images are optional; hover a photo and click the X to remove it.
