Timing steps

Timing steps pause a workflow before the next step. Add them from + → Timing. Building a quote has no timing steps. It runs instantly while the quote is created.

Wait

Pauses for a set number of minutes, hours, or days. The count starts when the step before it finishes. Example: Wait 2 days, then an email. The email sends 2 days after the previous step.

Wait until

Pauses until a time relative to the booking’s events. Choose an amount, before or after, and one of two moments:
  • the first event starts
  • the last event ends
Example: Wait until 3 days before the first event starts, then a reminder email.

When the event moves

Change an event’s date or time, and waiting runs move with it. Steps that already happened don’t repeat.

When the time already passed

If the time has passed when someone reaches the step, the workflow continues right away. Example: a client books 2 days before their event. Your workflow has reminders at 7 days and 3 days before. Both send as soon as they book.
Don’t want late bookings to get stacked reminders? Add Only start when → Days until the event is at least 7.

When there’s no event yet

The run waits for an event date. If the booking still has no event after 30 days, the run stops.

Send window

Holds the workflow until a day and time you choose, so emails don’t land at 2 AM.
  1. Click + → Send window, or open an email and click Add send window
  2. Pick the days: Any day, Weekdays, Weekends, or specific days
  3. Pick the time: Any time, or Between two times
The default is weekdays, 9:00 AM to 5:00 PM. If someone arrives inside the window, the workflow continues right away. Set the end time earlier than the start time to run overnight. For example, 8:00 PM to 6:00 AM.

Time zone

Send windows use the time zone of the company location on the booking or quote, not the event address. If there’s no booking event or quote to go by, they use your first location’s time zone.
