Create an Additional Invoice

Open the booking's billing tab
Open the booking or one of its events, then select Billing. The Invoices table lists each invoice’s total, balance due, status, number, bill-to details, and due date.

Choose a due date
Click New invoice and choose the Due date. Flashquotes suggests the oldest active invoice’s due date, or today if that date has passed. You can choose a different date.

Add the line items
Click Create invoice. The new, empty invoice opens in the editor. Add line items and configure its taxes, discounts, and service charges as needed.

Check the recipient and send
Review Bill to details, the due date, and the total. Click Send invoice to email it, or use Share invoice link to copy its payment link.
Additional invoices start blank. They do not move line items or payments from an existing invoice. If you are dividing an existing bill, adjust its line items too so you don’t bill the same amount twice.
Bill a Different Person or Company
Open the invoice and edit the name and email under Invoice settings → Bill to details.- A new blank invoice starts with the booking’s billing name and contact email.
- Each invoice can have a different bill-to name and email without changing the booking contact or the other invoices.
- Invoice emails, automated reminders, and payment receipts use that invoice’s recipient. The payment page and PDF also show its bill-to details.
- Changing the booking contact preserves bill-to details already saved on invoices. Older invoices without saved bill-to details use the booking’s billing name and current contact email as fallbacks.
Duplicate an Invoice
To reuse charges within the same booking:- In Billing, open the invoice row’s menu and select Duplicate invoice. You can also choose Duplicate from the invoice editor’s More actions menu.
- Review the due date, which starts with the source invoice’s date.
- Click Duplicate invoice. The copy opens with a new invoice number.
- Adjust the charges and recipient before sending.
Manage Payments and Due Dates
Click any invoice row to open its editor. Record payments, add installments, and review payment history on the specific invoice being paid. Payments apply to that invoice only. From an invoice row’s menu, you can send the invoice, change its due date, download its PDF, view its customer payment page, or share its link. You can also click the pencil beside the due date to change it.Automatic Reminders
When automatic invoice reminders are enabled, each new invoice gets its own schedule tied to its due date. Reminders use the invoice’s current bill-to email when they send.- Changing one invoice’s due date updates only that invoice’s reminders.
- Reminders are skipped when there is no balance to collect, the invoice is voided or deleted, the booking is canceled or deleted, or the reminder schedule is no longer active. See all automatic skip conditions.
- Adding or editing line items does not restart the reminder schedule. Use Send invoice if you need to follow up manually after adding charges.
Rescheduling an Event
When you reschedule an event, the booking’s active invoice due dates move by the same number of days, preserving the spacing between them. For example, moving the event seven days later moves each due date seven days later. Edit individual invoice due dates afterward if needed.Track the Whole Booking
Booking totals combine the active invoices. Voided and deleted invoices are excluded from those totals. If any invoice is overdue, the booking shows Overdue; paying one invoice does not mark the whole booking paid while another still has an outstanding balance. The Invoices table lets you sort by total, balance due, status, number, bill-to details, or due date. Booking exports include all invoice numbers on one booking row; invoice exports keep a separate row for each invoice.Share the Right Payment Link
Each invoice’s payment link and PDF cover that invoice only. Send each recipient their specific invoice link. The booking confirmation page shows the booking total and links to one invoice at a time, prioritizing the earliest-due invoice with a balance to collect. It does not list every invoice. When copying a booking, the option to copy existing invoices is selected by default when eligible invoices are available. The checkbox shows how many invoices will be copied, and the form lists their numbers and totals. Each invoice is copied separately with a fresh invoice number and no payments. Voided and deleted invoices are excluded. Uncheck the option to enter a new amount and create one invoice instead.Common Questions

The booking must be active. You cannot add invoices to a canceled or deleted booking, or duplicate a voided invoice.

Yes, when that invoice has no payment history. An invoice with payment history, including failed payments, cannot be voided or deleted. Voiding keeps the invoice visible in your records and stops its reminders. See Voiding invoices.

Customer revenue remains attributed to the booking contact. QuickBooks continues to use the booking’s customer, with a separate QuickBooks invoice record for each synced invoice. Editing bill-to details does not select a different QuickBooks customer.
